top tips for your next virtual meeting

making virtual meetings as exciting, engaging and interactive as face to face meetings might seem a little scary – but we know it is possible! read our top tips below before getting started to ensure you plan a successful meeting.

start with the end in mind
when it comes to the planning process, our first question will always be “what are you hoping to achieve?”. It is important that you have a clear idea of your objectives and how your audience should think, feel and what they should action as a result of participating.

select the right platform
your online platform is just as important as a real-life venue – it’s the first point of contact with your users and a slick easy to use interface will ensure your guests are free to concentrate on what’s really important. have a think about what features are important to you, we’d recommend using a platform which allows webcams, chat boxes and screen sharing as a minimum.

consider pre-recording
pre-recording part of your virtual meeting in advance can really help to ensure the broadcast is successful. this works particularly well if your speakers are nervous or if you are unsure about the internet connection and ensures all topics and covered correctly.

nominate a virtual host
ensure you have a member of the team available to host the meeting. they should welcome attendees, monitor the chatbox and filter any questions through to the speakers. this allows the speakers to concentrate on delivering their presentation confidently!

create an engagement plan
pre-event communications should be informative and build excitement, just like an event invite would. work with your speakers to develop captivating content and remember that the ideal length of a virtual talk is around 7 minutes, so be concise. utilise features on your platform, such as interactive polls, live q&a’s and word clouds to keep delegates engaged. finally – ensure that you share any slides or important details promptly post-event, encouraging the conversation to continue once the meeting has finished.
